Mobile Sauna Delivery and Placement Readiness Checklist

Prepare access, ground, services, safety, responsibilities and handover before a commercial mobile sauna arrives at an Australian venue.

Short answer

A mobile sauna site is ready for delivery only when the movement method, route, clearances, ground or support, final orientation, service connections, guest access, exclusion zone and responsible people have been verified against the actual unit and site. Confirm the plan with the supplier, transport party, venue, licensed trades and any required authorities. Use a marked placement drawing and a go/no-go call before dispatch; do not solve avoidable access or service questions while the unit is already in transit.

Delivery day is where a commercial concept meets physical reality. A narrow gate, soft shoulder, unverified power supply or misplaced pad can turn an otherwise well-planned sauna project into delay, damage or unsafe improvisation.

This checklist focuses on the period from final site confirmation through placement and handover. It complements the broader commercial sauna site requirements guide but does not replace transport, lifting, engineering, electrical, planning, safety or insurance advice.

Do not use generic dimensions or assumptions. Final information must come from the verified unit, movement method and site.

Name the delivery coordinator

Appoint one person to own the delivery plan and one authorised backup. That coordinator keeps the current drawings, confirms readiness with all parties, controls site access and can stop the delivery if a critical condition is not met.

List every party and role: supplier, carrier or driver, towing operator, crane or lifting contractor where applicable, venue manager, property owner, traffic controller, electrician, site contractor, security, insurer and authority contact. Record mobile numbers and the escalation sequence, but do not place personal details in public-facing documents.

Agree who pays for delays, return travel, special equipment, standby time or remediation in the commercial contract. The practical goal is prevention, but clear responsibility also reduces pressure to continue unsafely when the site is not ready.

Freeze the verified unit information

Create a delivery data sheet with the unit’s verified overall dimensions in transport and deployed configurations, mass and load information, drawbar or lift-point details, ground-clearance constraints, turning needs, tyre or support arrangement, centre-of-gravity or lifting information where required, and all removable or deployable components.

Include photographs or drawings showing connection points, door swing, platform or deck deployment, required ventilation clearances, access side and maintenance areas. Mark what must remain accessible after placement.

If the system is a road trailer, obtain the relevant vehicle identity, registration and approval evidence. The Australian Government’s low-ATM trailer guidance explains the approval pathways for trailers with an aggregate trailer mass of 4.5 tonnes or less and the role of the Register of Approved Vehicles. Do not claim a unit falls into that category or satisfies it without its own evidence.

If the unit moves by crane or another method, rely on a competent lift or transport plan. Supplier photography is not a lifting instruction. Confirm certified equipment, exclusion zones, ground bearing, overhead hazards, weather limits and the people authorised to direct the operation.

Survey the route from road to final position

Walk and measure the complete route. A map pin and street-view image are not enough. Record road approach, legal access, gate width and height, corners, turning and reversing space, gradients, cambers, tree branches, awnings, overhead services, soft verges, drainage crossings, bollards, parked vehicles, pedestrian flows and the escape route if the movement cannot continue.

Consider changes between inspection and delivery. Events, harvest operations, construction, rain, landscaping, bin collection or guest parking can alter the route. Schedule a final confirmation close to dispatch.

Use photographs with direction arrows and measurements. Mark where the carrier waits, where any tow-vehicle change occurs, who controls pedestrians and which areas are closed. If public-road traffic management, permits or local restrictions may apply, obtain competent advice and authority confirmation.

Test the exit route as well as the entry. A relocatable system should not be placed where later structures, seasonal ground conditions or parking make removal impractical. The venue’s long-term recovery plan includes the ability to service or relocate the unit safely.

Verify the final placement area

The placement drawing should identify boundaries, orientation, support points, finished levels, drainage direction, doors, steps or ramps, platforms, ventilation and maintenance clearances, service entries, emergency route and guest circulation.

Confirm that the ground, pad or support arrangement is suitable for the verified loads and intended duration. Obtain engineering or other qualified advice where required. Do not level a commercial system with improvised packing or place supports over unknown services, drainage structures or unstable fill.

Plan for water movement even when the sauna itself does not use a water connection. Rain, cleaning, guests, condensate and an adjacent plunge can create wet surfaces. Keep runoff away from supports, electrical connections and guest waiting areas. Assess wind, sun, bushfire context, flooding, salt or coastal exposure and severe-weather procedures relevant to the location.

Orientation affects privacy, views, queuing, solar load, prevailing weather and staff sightlines. Confirm it on site with the decision-maker before marking the position. A rotated unit can change door access, cable length or required clearances.

Confirm services before dispatch

Create a final services schedule from verified equipment information. For electricity, record supply type, maximum demand, connection method, protective devices, isolation, cable route, weather protection and any works completed. In Western Australia, electrical installation work must be completed by appropriately licensed people; consult a licensed electrical contractor and the WA electrical licensing guidance.

Do not test readiness by looking at a socket. The licensed contractor needs the actual equipment and site information. Agree who energises the system, what inspection or certification evidence is required and what happens if readings or protection are not acceptable.

For water, drainage, data, gas or other services where applicable, document the source, connection, isolation, capacity, protection and responsible trade. An adjacent cold plunge may have significant water-management needs even if the sauna enclosure does not.

Protect routes from vehicles and guests. Avoid temporary cables or hoses becoming the permanent operating solution unless they were specifically designed, assessed and approved for that use.

Complete approvals and insurance gates

Before delivery, confirm written landowner consent, the applicable planning or building pathway, any business or event permits, road or transport permissions, electrical responsibilities and insurer acceptance. The Australian Government notes that licences and permits depend on the business type, activity, state and local government area. ABLIS is a useful starting point, but site-specific confirmation remains essential.

Share the final operating plan with the insurer, including whether the unit is stationary, frequently moved, hired, supervised, combined with a plunge or used for public events. Confirm transport and in-position cover, responsibility for associated works and any inspection or record conditions.

Plan the delivery-day exclusion zone

Separate delivery operations from normal venue traffic. Define barricades, spotters, high-visibility roles, pedestrian detours, guest communications, vehicle movement, lighting and the person who releases the area after placement.

Do not run delivery through a live tasting room arrival, hotel check-in peak or gym class changeover merely to protect the schedule. Choose a window with enough daylight or lighting, competent staff and contingency time.

Conduct a pre-start briefing. Confirm the plan, signals, stop word, individual responsibilities, route, hazards, weather, communications and emergency arrangements. If the agreed method changes materially, pause and reassess rather than allowing multiple people to direct the driver or lifting operator.

Use a go/no-go review

Hold a documented review 24 to 48 hours before planned dispatch, or at an interval appropriate to the project. A go decision should require:

  • current unit and transport information;
  • accessible and measured route;
  • suitable final support or pad evidence;
  • marked final orientation;
  • cleared exclusion zone and site window;
  • ready and verified services;
  • closed approval and insurance gates;
  • appropriate weather and ground condition;
  • confirmed competent people and equipment;
  • emergency and contingency contacts; and
  • acceptance criteria for placement and handover.

Any critical “unknown” is a no-go until resolved. Record the decision and the information it relied on. Recheck on arrival because conditions can change after the review.

Inspect, commission and hand over

After placement, inspect the unit and site before guests or unrelated staff enter. Record any transport damage, support and level condition, deployed elements, doors, access, clearances and services. Photograph the completed position from multiple angles.

Commission in accordance with supplier and qualified-trade requirements. Record electrical or other test evidence, control function, lighting, ventilation, safety features and any initial heat cycle prescribed by the manufacturer. Do not invite guests into a “soft opening” before the acceptance criteria are met.

The handover should include verified drawings and specifications, manuals, certificates, maintenance schedule, cleaning instructions, fault process, emergency information, keys or access controls, staff training, warranty terms supplied in writing and the list of unresolved items. Mark whether an item prevents operation or can be closed after opening.

Common delivery mistakes

  • Measuring the gate but not the final turn or exit route.
  • Using brochure dimensions rather than the final verified configuration.
  • Assuming dry-weather access will remain suitable after rain.
  • Allowing several venue staff to direct one driver.
  • Discovering the electrical supply is unsuitable after placement.
  • Positioning for the view while blocking service access, egress or drainage.
  • Treating a mobile format as exempt from land-use or site checks.
  • Opening to guests before commissioning, records and staff training are complete.
  • Accepting transport damage or an unresolved support issue without a documented hold point.
  • Failing to preserve a practical path for future servicing or relocation.

Measure delivery quality

Track readiness items closed on time, late design changes, delivery delays, unplanned equipment or labour, defects at handover, time to commission, unresolved critical items and total downtime before opening. Compare the plan with what happened, then update the checklist for the next placement.

A successful delivery is not merely “the unit arrived”. It means the system is in the correct position, supported and connected as designed, documented, accepted and ready for the controlled operating process.

Frequently asked questions

How early should a mobile sauna site be checked?

Start during format selection, then complete a detailed survey once verified unit information is available. Reconfirm near dispatch because access, weather, ground and venue operations can change.

Who decides whether delivery can proceed?

The project should name an authorised delivery coordinator and clear go/no-go criteria. Drivers, lifting contractors, licensed trades and other competent parties retain control of work within their responsibilities and should stop when conditions are unsafe or outside the plan.

Can the sauna be connected to an existing outlet?

Only if the final equipment, load and installation have been assessed and accepted by the appropriately licensed electrical contractor and other responsible parties. Visual similarity to an outlet does not prove capacity or suitability.

What should be included in handover?

Include drawings, verified equipment information, manuals, certificates, commissioning records, maintenance and cleaning requirements, fault and emergency processes, training, access controls, written warranty information and a controlled defects list.

Does delivery approval mean the venue can open?

No. Transport, placement, site approvals, services, commissioning, insurance, staff readiness and operating requirements are separate gates. Opening should occur only when every critical gate has acceptable evidence.
