Plan a recovery area by timing the whole guest cycle—arrival, orientation, changing, sauna or recovery use, transitions, cooling, cleaning and departure. Physical seat count is only one constraint. Safe and commercially useful capacity also depends on product limits, circulation, supervision, accessibility, privacy, wet-zone control, staff workload, booking rules and the slowest transition in the journey.

Gyms, sports organisations, accommodation venues and wellness operators can combine sauna, red-light or cold-plunge services in many ways. More modalities do not automatically create a better experience. Each transition adds instructions, queues, cleaning tasks, wet traffic and potential confusion.

Define the service before counting people

Draw the guest journey

Map every step from booking to exit:

Separate zones

Use a site plan to distinguish arrival, dry changing, warm zone, wet or cooling zone, rest area, staff or service path, plant access and emergency route. Reduce crossing between wet guests, arriving guests, contractors and general venue traffic.

Plan accessibility with facts

Do not use a broad “fully accessible” label without evidence. Publish verified details and invite guests to discuss individual access needs through an appropriate channel.

Define staff tasks

Capacity depends on what staff must do during each cycle. List check-in, orientation, cleaning, water checks, linen handling, supervision, temperature or control monitoring, incident response, fault escalation and closing procedures. Time these tasks in a pilot.

If one person is expected to supervise guests, clean a wet area and manage reception simultaneously, the model may be fragile. Create coverage for breaks and incidents.

Control transitions between modalities

For any combined sauna, red-light or cold-plunge circuit, define the order as an operating assumption reviewed by qualified advisers. Communicate what is optional, where to wait, how to exit and whom to contact. Do not present general wellness programming as individual medical advice.

Design the booking grid

Build the grid from the full cycle time, not only the advertised session. Include orientation, transition, cleaning and buffer. Test private, shared and group blocks against the venue’s real staffing and space.

Track:

  • booked places and attended places;
  • average and peak arrival spread;
  • late starts and overrun;
  • cleaning and reset time;
  • staff minutes per session;
  • blocked capacity from maintenance;
  • complaints, incidents and accessibility requests;

Prepare operating evidence

Before launch, collect approved manuals, cleaning instructions, maintenance schedules, product limits, fault procedures, training records and the responsibility matrix. Confirm insurance and site-specific approval requirements.

Run a controlled simulation

Measure and improve

Review the first weeks by session type, time and guest segment. Investigate delays and complaints with context. A lower-capacity model that runs reliably may create a better experience than a high-capacity grid that produces queues and rushed cleaning.

Change one material variable at a time where practical, document the result and keep safety and product limits fixed. The venue should know whether improvement came from demand, scheduling, staffing or operational changes.
